A useful opening budget connects equipment, site preparation and day-to-day operation. It should expose missing costs before orders are placed.
Separate the work packages
Separate equipment, flooring, building services, adaptation works, delivery, installation and service. Record what is included, who supplies the rest and what still needs checking. Make the VAT treatment explicit.
Prioritise the essential use
Create an opening list and a later expansion list. For example, reserve space for a future activity area without purchasing its entire equipment package immediately. Base priorities on the audience and business plan, not only on a temporary discount.
Include operating costs
Alongside purchase prices, list maintenance, cleaning, electricity, digital subscriptions and planned staffing. Check warranty coverage, service visits and consumables in equipment offers. Develop cash-flow and financing assumptions with your business adviser.
Make the decision list clear
For every SKU, record quantity, purpose and required date. Track open questions such as unloading access or subfloor approval separately. This makes revisions easier to compare without losing sight of the complete project.
